1. Acceptance of Terms
By booking any transportation service, tour, or activity with Cool Vibes Taxi and Tours (“Company,” “we,” “us,” or “our”), you (“Customer,” “you,” or “your”) agree to be bound by these Terms and Conditions. These terms apply to all reservations made via phone, email, website, or in person.
2. Booking and Reservations
2.1 Booking Process
- All bookings require confirmation from the Company.
- Bookings are not guaranteed until payment or deposit is received as specified.
- Customers must provide accurate contact information, pickup location, and flight details (if applicable).
2.2 Group Size and Vehicle Assignment
- Vehicle type is assigned based on group size and luggage capacity.
- If group size exceeds booked capacity, additional charges may apply, or service may be refused.
3. Payment Terms
3.1 Pricing
- Prices are quoted in United States Dollars (USD) unless otherwise stated.
- Prices include all applicable taxes unless specified.
- Prices are subject to change without notice, but confirmed bookings will be honored at the quoted rate.
3.2 Payment Methods
- We accept cash (USD or EC), credit/debit cards, and bank transfers.
- For online bookings, full payment may be required in advance.
- For on-arrival services, payment is due upon completion of service.
3.3 Additional Charges
Extra fees may apply for:
- Waiting time beyond 15 minutes of scheduled pickup
- Additional stops not included in original booking
- Excessive luggage requiring extra vehicle space
- Late-night/Early-morning transfers (10 PM – 5 AM)
4. Cancellation and Refund Policy
4.1 Customer Cancellations
- 24+ hours notice: Full refund
- Less than 24 hours notice: No refund
- No-show: 100% charge, no refund
4.2 Company Cancellations
We reserve the right to cancel services due to:
- Severe weather conditions
- Vehicle mechanical issues
- Unsafe road/trail conditions
- Force majeure events
In such cases, customers will receive a full refund or option to reschedule.
4.3 Refund Processing
- Refunds processed within 5–7 business days
- Issued to original payment method
- Bank transfer fees may be deducted
5. Service Policies
5.1 Punctuality
- Customers must be ready at designated pickup time
- We monitor flights for airport transfers—delays accommodated at no extra charge
- For non-airport services, waiting time beyond 15 minutes may incur additional charges
5.2 Conduct
Customers agree to:
- Treat drivers and guides with respect
- Not smoke in vehicles without permission
- Not consume illegal substances in vehicles
- Not cause damage to vehicles or equipment
- Follow all local laws and regulations
5.3 Liability for Damages
- Customers are financially responsible for any damage to vehicles caused by negligence or misconduct
- A cleaning fee may be charged for excessive mess
6. Health, Safety, and Waivers
6.1 Physical Requirements
- Some tours involve physical activity (hiking, walking, climbing)
- Customers must disclose any health conditions that may affect participation
- We reserve the right to refuse service if safety is compromised
6.2 Assumption of Risk
- Adventure activities (hiking, swimming, etc.) involve inherent risks
- By participating, customers acknowledge these risks and assume responsibility
- Company is not liable for injuries resulting from customer negligence or failure to follow instructions
6.3 Child Safety
- Children under 18 must be accompanied by an adult
- Child seats available upon request—must be booked in advance
- Parents/guardians are responsible for child supervision
7. Third-Party Services
7.1 Attractions and Activities
- We may facilitate bookings for third-party attractions (waterfalls, mud baths, tours)
- These services have their own terms, conditions, and safety requirements
- Company acts as intermediary only and is not responsible for third-party services
7.2 Insurance
- We carry commercial vehicle insurance as required by St. Lucia law
- Customers are advised to carry personal travel insurance
- Personal belongings are carried at owner’s risk
